How Spring Lane Farm Shop & Café took control of stock and daily operations with CSY.

Background

Spring Lane Farm Shop & Café is a family-run farm shop and café based on the outskirts of Nottingham. The farm shop, opened in 1962, is located on a working beef farm owned by the Spencer family. 

Over the years, Spring Lane Farm Shop & Café has grown in leaps and bounds – from the Spencers selling sacks of potatoes and eggs at the farmhouse door, to a purpose-built building complete with a butchery and bakery. Today, the farm shop and newly opened café are managed by Jessica Spencer and her mum, Claire. 

Challenge

To maintain growth, they needed an EPOS system with more capabilities – a modern solution that could replace manual retail processes with digital workflows, to improve stock control, simplify daily tasks, and centralise operations across the business. Additionally, they wanted a system Jessica could access remotely, enabling her to keep an eye on everything when she’s off site.

As our business grew, we needed better control over our stock, which our previous system was unable to offer. We needed a digital system, as much of the work we were doing was still done with pen and paper. Rather than having separate systems, we wanted one centralised, digital system that we could access remotely.

Solution

Jessica and Claire previously operated a garden centre where they used CSY, which inspired them to reach out to see if CSY could help with their new venture. While Jessica and her mum were familiar with the system, having George Koszalka, CSY’s engineer, on site to install the EPOS system and help them get started was, in Jessica’s words, “absolutely brilliant”. “Whenever we needed help, George was at the end of the phone. I’d send him a WhatsApp and he’d get straight back to me with support, which is really, really good.”

The support from CSY’s project manager, Josh Nicol, was equally impressive. Jessica described training with Josh as “the most helpful thing we did”, saying he “went over everything, even the stuff we felt semi-confident about”, working through it all at a steady pace.

Spring Lane Farm Shop & Café began using Vector EPOS at the start of 2025 and quickly saw great results. 

Improved stock management

Jessica used to do weekly manual stocktakes to keep shelves well-stocked. Now with Vector EPOS, all items are recorded in the system and updated as they’re sold, improving stock visibility and eliminating the need for time-consuming manual checks and giving Jessica “much better control over the value of stock and the quantities on the shelf.”

She’s also set up minimum and maximum stock levels, with the system recommending orders, helping her and her team optimise stock levels to meet demand without overstocking. “I still have control over reordering,” Jessica added, “but my workload is halved.”

Smoother operations 

CSY’s digital features have streamlined retail operations in the farm shop as well as the café, which opened in December 2025.

Planning for busy periods like Christmas is easier and more accurate, as the farm shop can review previous sales transactions and use this data to meet demand, taking the stress out of one of the busiest times of the year. There are also improvements in areas like the café. CSY has removed the need for pen and paper to take orders. Instead, orders are taken digitally with tablets, and prompts remind staff to add modifiers, allergens, and notes to orders. Digital kitchen screens display orders in real time with notes, helping staff deliver the right orders on time.

At the tills, digital gift cards have replaced physical ones, allowing staff to issue them quickly and track redemptions seamlessly. Managing staff discounts is just as straightforward – team members are set up as customers with their own barcode for checkout, and discount levels can be customised per person directly in the system.

Centralised control

CSY gives Jessica more control over Spring Lane Farm Shop & Café’s operations. “The fact that Vector EPOS works in the farm shop and the restaurant, and that it’s all in one system, makes it brilliant”, said Jessica.
